Sierra Macros for Cataloging

Sierra macros are used for either inserting a particular text string into a record or particular fixed-field codes. Macros are applied by keyboard shortcuts using the function keys on the top of the computer keyboard, either alone or by first pressing and holding the Alt, Ctrl, or Shift key, then pressing the designated function key.

Our current macros are listed on the other tabs of this box. There are macros for:

  • Label pre-stamps (see CTRL and SHIFT tabs)
  • Inputting the item record fixed field codes for discarded items (see No Modifier tab)
  • Inputting bookplate fields for certain collections (see ALT tab)

 

Steps for creating a macro (to re-create a lost macro, copy the macro string to your Windows Clipboard first):

1.       Open Sierra

2.       Select Admin > Settings

3.       Select the Macros tab

4.       Select a shortcut key modifier - No ModifierALT CTRL, or SHIFT

5.       Select an unused key and click in its text box

6.       Enter your macro (paste it in or type it)

7.       Click Save Settings and Oto close

NOTE: Macros are case-sensitive, all keyboard codes must be uppercase and enclosed in percent signs, and spaces are only allowed in text strings.

Creating Sierra Macros

(To re-create a lost macro, copy the macro string to your Windows Clipboard first.)

1.       Open Sierra

2.       Select Admin > Settings

3.       Select the Macros tab

5.       Select an unused key and click in its text box

6.       Enter your macro (paste it in or type it)

7.       Click Save Settings and OK to close

OCLC Authorizations

To add, delete, or modify OCLC accounts for Connexion, contact the Catalog Librarian; if that is not possible, you can create your own account and manage OCLC authorizations yourself.

Creating an OCLC Online Service Center account
 
  1. Go to https://www.oclc.org 

  2. Click Sign in to Services

  3. Under "Other Services," click Online Service Center

  4. Click Create an Account and complete the form; for "OCLC symbol," enter: THD

 

Add, delete or modify OCLC authorizations

  1. Log into the OCLC Online Service Center

  2. Under Manage my institution account, click Authorizations

  3. You will see a listing of our current OCLC authorizations; using the drop-down menu, you can group them by operator name, authorization number, or service

  4. Too add, delete or modify an OCLC authorization, click the link for the OCLC Access & Authorization form 

  5. Fill out the form as follows:

  6. At the next screen, review your information and edit if necessary; then select the appropriate action:

  • Add New Authorization

  • Delete Existing Authorization - enter the Authorization Number 

  • Modify Existing Authorization -- enter the Authorization Number and select Change Operator Name, Change Logon Greeting, or Change Password 

  • OCLC Symbol : THD

  • OCLC Billing Partner:  OCLC

  • Your name, phone number and email address as the contact person

  3. Click Delete selected authorizations.


Add OCLC Accounts for Cataloging

Go to the OCLC Access & Authorization Form (if this doesn't work, follow steps 1-4 under "Delete OCLC Accounts" above, then click the link given where it says, "To add or change authorizations....")

  • Enter your name for Contact person, your phone # and email address and the following for the other fields, then click Next:

  • On the next screen, review the information to make sure it's correct, then click Add New Authorization.
  • Fill in the Add New Authorization form; the password will be "thd" followed by the employee's initials. Example:
Operator Name      Jane Doe
Logon Greeting   Jane
Password   thdjd

         Also select one Default Service and any Secondary Services that are needed. Then click Next.

 

  • On the next screen, select the following:
Cataloging Service Mode   FULL--Full 
Default Classification Scheme   LC--Library of Congress (050, 090)
Default Subject Heading       LC--Library of Congress (2d ind. 0)

 

You can also add additional classification schemes and/or subject headings if desired. Then click Next.

 

  • At the next screen, click Edit Info if you need to make any corrections. When finished, click Add Request, then Submit Order.

 

Discards Macro

Macro entering item record codes for discards

(1)    Open the item record

(2)    Make sure the cursor is in the COPY # box

(3)    Press F12

(4)    Close the record (or search for the next record)

                  This macro sets the following codes, then saves the record:
                           ICODE 2 = n   (SUPPRESS)               LOCATION = dtwdn  
                           STATUS = w   (WITHDRAWN)           IMESSAGE = c  (SEND TO CAT)

The macro string (in case it is lost and must be re-created):

1. Copy the text string below (click and drag to highlight it, then press Ctrl+c or right-click and select Copy):

2. Follow steps 1-3 in the "Creating Sierra Macros" box (to the left of this box).

3. Click the No Modifier tab, then click inside the box for the F12 key

4. Press Ctrl+v. This should paste the text string into the box.

5. Click Save Settings and OK to close.
